HeyHuddl Inc ("HeyHuddl", "we", "us") respects your privacy. This Privacy Policy describes what information we collect, how we use it, who we share it with, and the choices you have. By using the Service, you agree to the practices described in this policy.

2. Information You Provide

When you create an account, we collect your name, email address, and authentication identifiers. When you connect a calendar, we receive your calendar events, attendee lists, and meeting links from the connected provider. When you upload documents to your knowledge base, we store the file contents along with file metadata. When you interact with the AI chat, we store your messages and the AI's responses.

3. Meeting Data

When the AI Thought Partner joins a meeting, we process audio from that meeting in real time to generate transcripts, summaries, action items, and responses. We store transcripts, summaries, decisions, action items, attendee information, and meeting metadata. Audio streams are processed in memory and are not persistently stored after the meeting ends. Cross-meeting memories (facts and context extracted from your meetings) are stored to improve the quality of future sessions.

4. Information Collected Automatically

We collect basic usage information such as pages visited, features used, browser type, device information, and timestamps. We use this information to monitor service performance, detect abuse, and improve the product. We do not use third-party advertising trackers.

5. How We Use Your Information

We use your information to provide and improve the Service, including joining meetings, generating transcripts and summaries, powering AI chat and memory, sending meeting summaries to attendees on your behalf, and providing customer support. We may also use aggregated, de-identified information for analytics and service improvement.

6. Service Providers and AI Processing

To deliver the Service, we share data with third-party service providers for hosting, infrastructure, authentication, AI model processing, and transactional email. These providers are contractually bound to protect your data and process it only on our instructions. We do not authorize any provider to use your content to train their models. We do not sell your personal information. Enterprise customers may request a list of sub-processors and a Data Processing Addendum by contacting us.

7. Data Sharing

We do not sell your personal information. We do not share your meeting content, transcripts, documents, or chat data with third parties except with the service providers described above, when you explicitly request it (such as sending a summary to meeting attendees), or when required by law, legal process, or to protect the rights and safety of HeyHuddl, our users, or the public.

8. International Data Transfers

HeyHuddl operates from the United States. Your data may be processed in the United States and other countries where our service providers operate. By using the Service, you consent to the transfer of your information to these locations.

9. Data Retention

We retain your data for as long as your account is active. You may delete your data at any time through your account settings. Upon account deletion, your personal data is permanently removed within 30 days, except where retention is required by law (for example, billing records). Aggregated, de-identified information may be retained indefinitely.

10. Your Rights and Choices

You have the right to access, correct, export, or delete your personal data. You may delete your data or your entire account from your settings page at any time. You may disconnect calendar integrations and revoke OAuth permissions at any time. Depending on your jurisdiction (such as the EU under GDPR or California under CCPA), you may have additional rights including the right to object to processing or to lodge a complaint with a supervisory authority. 11. Security

We use industry-standard security measures including encryption in transit (TLS) and access controls to protect your information. However, no system can guarantee absolute security. You are responsible for safeguarding your login credentials and notifying us immediately of any suspected unauthorized access.

12. Children's Privacy

The Service is not intended for individuals under 18. We do not knowingly collect personal information from anyone under 18. If you believe we have collected such information, contact us and we will promptly delete it.

13. Cookies and Tracking

We use essential cookies required for authentication and service functionality, and we use basic analytics to measure aggregated, anonymized usage. We do not use third-party advertising or cross-site tracking cookies. We do not respond to browser-based "Do Not Track" signals.

We may update this Privacy Policy from time to time. We will notify you of material changes by updating the "Last Updated" date and, where appropriate, by email or through the Service. Continued use of the Service after changes take effect constitutes acceptance.
